Summary
The U.S. Mission in Accra is inviting eligible and qualified applicants for the position of Consular Associate. This full-time role, requiring 40 hours per week, is exclusively open to U.S. Citizen Eligible Family Members (USEFMs).
Job Duties
As a Consular Associate, your responsibilities will include:
- Assisting the General Services Officer in locating suitable short-term lease residential properties for Mission employees.
- Coordinating landlord repairs as requested by the Facilities Maintenance Manager (FMM) during lease renewals and general routine maintenance, scheduling these tasks with FSO's/occupants.
- Maintaining up-to-date housing lists, housing view spreadsheets, and RPA systems, along with updating utility logs with current occupant information.
- Keeping Housing Board Records and maintaining office files that incorporate all correspondence related to leases, maintenance issues, and landlord responsibilities.
- Preparing lists of upcoming vacant houses and other materials for Housing Board Meetings.
- Notifying landlords of lease renewals in advance, preparing lease documents for signing, and assisting the GSO in lease/rental negotiations.
- Preparing Landlord Letters to accompany rent checks and coordinating rent payments and deductions with FMM and the Financial Management Officer (FMO).
- Working with landlords, realty agents, and other entities to identify properties for the housing pool, screening properties to select those that meet Mission housing requirements, and arranging for potential properties to be reviewed by the GSO, RSO, and FMM for approval.
- Arranging lease negotiation meetings between landlords and the Contracting Officer, and coordinating with FMM, POSHO, RSO, and the Warehouse to ensure smooth operations during commissioning, make-ready, and decommissioning of houses.
- Sorting and arranging all housing residential keys, making copies during make-readies, and replacing key cylinders when necessary.
Requirements
Experience:
- Minimum of 3 years of experience in renting residential properties.
Knowledge:
- Comprehensive understanding of local housing markets, residential areas, and real estate agents.
- Knowledge of the city to provide valuable advice on properties.
- Familiarity with customer service, lease/rental management, wood and joinery works, and floor plan measurements and sketches.
Skills and Abilities:
- Ability to work independently and display initiative and resourcefulness.
- Capability to perform tasks under pressure.
- Valid driver's license Class B for a minimum of 5 years.
- Proficiency in Microsoft Office applications, email usage, and computer downloads.
- Ability to understand, explain, and interpret the USG model lease.
- Strong persuasion and negotiation skills.
Education:
- Completion of a High School diploma (Secondary school) is required.
Evaluations
Applicants will be required to pass medical and security certifications. Language, skill, and ability tests may be conducted as part of the evaluation process.
