U.S. Embassy Acquisition and Assistance Specialist Jobs in Ghana


Summary

The U.S. Mission in Accra is seeking qualified applicants for the position of Acquisition and Assistance Specialist. This full-time position (40 hours per week) offers an excellent opportunity to contribute to the mission’s procurement and assistance activities.

Job Duties

As an Acquisition and Assistance Specialist, you will:

  • Assist the General Services Officer in locating suitable short-term lease residential properties for Mission employees.
  • Coordinate landlord repairs as requested by the Facilities Maintenance Manager (FMM) during lease renewals and routine maintenance schedules, arranging these tasks with FSO's/occupants.
  • Maintain housing lists, housing view spreadsheets, and RPA systems, ensuring utility logs are updated with current occupant information.
  • Keep Housing Board Records and office files, incorporating all correspondence related to leases, maintenance issues, and landlord responsibilities.
  • Prepare lists of upcoming vacant houses and other materials for Housing Board Meetings.
  • Notify landlords of lease renewals, prepare lease documents for signing, and assist the GSO in lease/rental negotiations.
  • Prepare Landlord Letters to accompany rent checks and coordinate rent payments and deductions with FMM and the Financial Management Officer (FMO).
  • Work with landlords, realty agents, and other entities to identify properties for the housing pool.
  • Screen properties to select those that meet Mission housing requirements and arrange for potential properties to be reviewed by the GSO, RSO, and FMM for approval.
  • Arrange lease negotiation meetings between landlords and the Contracting Officer.
  • Coordinate with FMM, POSHO, RSO, and the Warehouse to ensure smooth operations during commissioning, make-ready, and decommissioning of houses.
  • Sort and arrange all housing residential keys, make copies during make-readies, and replace key cylinders when necessary.

Requirements

Experience:

  • Minimum of 3 years of experience in renting residential properties.

Knowledge:

  • Thorough understanding of local housing markets, residential areas, and real estate agents.
  • Knowledge of the city and the ability to provide valuable advice on properties.
  • Familiarity with customer service, lease/rental management, wood and joinery works, and floor plan measurements and sketches.

Skills and Abilities:

  • Ability to work independently and display initiative and resourcefulness.
  • Capability to perform tasks under pressure.
  • Valid driver's license Class B for a minimum of 5 years.
  • Proficiency in Microsoft Office applications, email usage, and computer downloads.
  • Ability to understand, explain, and interpret the USG model lease.
  • Strong persuasion and negotiation skills.

Education:

  • Completion of a High School diploma (Secondary school) is required.

Evaluations

Applicants will be required to pass medical and security certifications. Language, skill, and ability tests may be conducted as part of the evaluation process.
